Executive Assistant to the CEO (Administration)

Coeur Mining, Inc. is the largest U.S. based primary silver producer and a growing gold producer. The Company has four precious metals mines in the Americas generating strong production, sales and cash flow. We are seeking an experienced Executive Assistant to support our Chief Executive Officer. The Executive Assistant will provide extensive, professional administrative support to the CEO by performing all duties as requested to facilitate the accomplishment of the executive department function.

Responsibilities

  • Answer telephones in a timely/professional manner and assure messages are communicated to CEO. Develop familiarity with callers and maintain fine-tuned sense of priority of callers and time sensitivity of matters, as that can change.
  • Coordinate demanding and changing travel arrangements for CEO and other employees as needed.
  • Maintain appointment calendar including making all necessary phone calls to assure appointment arrangements are accurately made and updated accordingly to continuously-changing schedules and meeting requirements, coordinating schedules of all meeting attendees and obtaining any information necessary for reference by meeting attendees.
  • Communicate and interact with Board of Directors and their assistants for Board meetings and correspondence regarding the Board of Directors.
  • Coordinate complex and frequent travel/lodging/car rental schedules for the President and CEO, both domestic and international, including the timely preparation and submission of related expense reports.  In addition, arrange travel for members of the Board of Directors and facilitate/audit Board of Directors’ expense reports for signature.
  • Communicate and interact with members of Executive team, Investors, Clients and other VIP’s (including elected representatives and government officials).
  • Handle highly confidential information in a discreet and disciplined manner.
  • Assemble and distribute Board of Directors communication, as appropriate, in a timely manner.
  • Assemble earnings binders and investor packets as appropriate.
  • Maintain and update continuously CEO’s contact/address book.
  • Plan and coordinate off-site company events/executive retreats, as appropriate.
  • Work as appropriate with corporate communications to assure press release and other media- type processes flow smoothly.
  • Update and maintain email distribution list for press releases.
  • Within scope of authority, independently compose correspondence and other professional written communications internally and externally
  • Act as a liaison for the company in outreach efforts to foster sustainable internal and external positive community relations. 
  • Provide leadership and direction to executive assistants by holding administration staff meetings and managing support staff schedules as they relate to vacation time and workload relative to scheduled time off
  • Perform various other administrative duties as assigned.

    Position Requirements
  • Approximately 7-10 years of experience as a C-Suite public company executive assistant 
    Significant Microsoft Office experience (Word, Excel, PowerPoint).
  • Excellent formatting/black-lining skills.
  • High school diploma or equivalent required. Post-secondary education preferred, but not required.
  • Ability to work with many deadlines, time requirement conflicts and management pressures. Prioritize workflow.
  • Ability to take direction but exercise independent thought and judgment.
  • Ability to professionally manage challenging situations and employees.
  • Ability to manage multiple tasks and relationships within a fast-paced, team-oriented and lean environment.
  • Subject to working long hours during peak periods (i.e., benefits open enrollment period, year-end compensation cycle, acquisitions due diligence and integration, etc.).
